TL;DR

Square for Restaurants is the best POS for most coffee shops in 2026: the Free plan has no monthly fee, in-person cards cost 2.6% + 15¢, and Plus at $49 per location adds inventory tracking and a kitchen display app. Loyverse is the cheapest way to run a single counter, SpotOn has the lowest published card rate on a month-to-month plan, and Lightspeed Restaurant suits multi-site cafes. Prices checked on vendor pages, October 2026.

  • Updated: October 24, 2026
  • Top pick: Square for Restaurants (best for: Most independent coffee shops, from a first cart to a busy single location)
  • Top pick price as of October 24, 2026: Square for Restaurants: Free plan; Plus $49/mo per location; Premium $149/mo per location; in-person from 2.6% + 15¢
  • 7 tools compared: Square for Restaurants, Loyverse, SpotOn, Lightspeed Restaurant, TouchBistro, Toast, Shopify POS
  • Loyverse (best for: Single-counter cafes and kiosks that want free software and pay only for add-ons): Free POS with KDS; add-ons from $5/mo per store; employee management $25/mo per store
  • SpotOn (best for: Busy cafes that want the lowest published card rate and can buy hardware upfront): All-In $0/station (2.79% + 20¢, 2-year term); Essentials $55/station (2.45% + 15¢), month to month
  • Lightspeed Restaurant (best for: Cafe groups with two or more sites that need central menus and inventory): Starter $69/mo; Essential $189/mo; Premium $399/mo; KDS $30/screen per month

Coffee is a small-ticket business, and that changes which POS is cheapest. A small sale carries the same fixed per-transaction fee as a sale of $80, so a 15-cent fee is nearly two points of margin on every latte before the percentage rate is even counted. A shop selling 100 drinks an hour at the morning rush also needs a register that never makes the line wait, a kitchen display or ticket printer for the bar, and modifiers for every milk and syrup.

We compared seven systems on those terms: plan fee per location or station, the published in-person rate, the cost of a kitchen display and a self-order kiosk, and the contract you sign. Retailpresso data: we priced one cafe taking $25,000 a month in card sales at an $8 average ticket, which is 3,125 sales. Processing alone costs between $962.50 and $1,322.50 a month across the systems that publish rates, against software fees of $0 to $149, so the card rate decides the bill.

Toolradar data: Toolradar, the software directory we run, evaluated 35 restaurant POS tools for its October 2026 ranking; 5 of its top 10 have a free plan, and the median cheapest paid plan is $50/mo.

What it is

A coffee shop POS is the register app, card reader and back office that take orders with modifiers, accept payment and tips, send drinks to the bar, and track stock of beans, milk and cups. Cafe-ready systems add a kitchen display screen, a self-order kiosk, online ordering for pickup and a loyalty program for daily regulars.

Why it matters

Processing is the largest line on a cafe's POS bill, and it grows with every cup. A rate difference of a few tenths of a point, or five cents of fixed fee, is worth hundreds of dollars a month at cafe volumes. Contract terms matter too: a plan that bundles free hardware can carry a two-year minimum, which outlasts many first leases.

Speed matters as much as price. Mobile ordering and kiosks move part of the line off the counter, and each one is a separate monthly fee per device on most systems. For POS systems beyond food service, see our best POS systems guide and the retail-focused best POS for clothing boutiques.

Key features to look for

Fixed fee per transaction
On a small coffee ticket, the cents matter more than the percent. Square charges 15 cents, SpotOn 15 or 20 cents depending on plan, and Shopify 10 cents on Basic.
Kitchen display for the bar
A KDS screen routes drink tickets to baristas. Square charges per device on Plus and Premium, and Lightspeed charges per screen on every plan; Loyverse includes its KDS free.
Self-order kiosk and online ordering
Kiosks and pickup ordering shorten the morning line. Square Kiosk costs $99 a device, and SpotOn bundles commission-free online ordering in its Core Bundle.
Modifiers and fast checkout
Milk, size, shots and syrup choices should be one tap each. Every system here supports menu management; test the speed of a five-modifier drink during the trial.
Contract and hardware terms
SpotOn's no-fee All-In plan carries a 2-year minimum term, while its Essentials plan is month to month. Ask for exit terms in writing before taking bundled hardware.

Pricing

Our cafe scenario: $25,000 a month in card sales at an $8 average ticket, or 3,125 sales, one register, monthly billing. Each total is the percentage rate times $25,000, plus the fixed fee times 3,125, plus the plan fee. Shopify Basic with POS Pro comes to $1,090.50 ($962.50 in processing plus $128 in subscriptions). Square Free costs $1,119, Square Plus $1,143 and Square Premium $1,218. SpotOn Essentials costs $1,136 a month at its non-Amex rate, plus $750 of hardware, and SpotOn All-In costs $1,322.50 with no software fee.

The takeaway: on small tickets, the fixed fee moves the total more than the plan does. Square Free beats Square Plus by $24 a month in this scenario, so upgrade for inventory and KDS, not for the lower rate. SpotOn's free hardware costs about $186 a month more in total than its Essentials plan, which repays the $750 terminal in about four months.

Prices verified in October 2026 on Square for Restaurants pricing, SpotOn pricing, Lightspeed Restaurant pricing, TouchBistro pricing, Shopify POS pricing and its App Store listing. Loyverse prices were checked on its pricing page by Toolradar on 11 Oct 2026. Toolradar profiles: Square for Restaurants, Loyverse, SpotOn Restaurant, Lightspeed Restaurant, TouchBistro and Toast POS.

Methodology: we read each vendor's US pricing page, recorded plan fees, published in-person rates and add-on prices, computed the cafe scenario where rates are published, and ordered the list by fit for an independent coffee shop. We did not run the systems ourselves; the ranking rests on vendor documentation and Toolradar's catalog data.

Mistakes to avoid
×Comparing percentage rates and ignoring the fixed fee. At cafe ticket sizes, a 15-cent fee adds almost two points to the effective rate, more than the gap between most plans.
×Taking free hardware without pricing the term. SpotOn's All-In plan costs about $186 a month more than Essentials in our scenario and runs for two years.
×Forgetting add-on devices. A KDS screen and a kiosk can add $129 a month or more per location on Square Plus before the first order.
×Buying a full restaurant system for a walk-up counter. Table maps and coursing go unused in a grab-and-go cafe.
Expert tips
→Pull last month's card statement, divide sales by transactions to get your real average ticket, and rerun our scenario with it.
→Ask every vendor for the Amex rate as well as the standard rate; SpotOn's Amex rate is higher than its headline.
→Start on Square Free or Loyverse if you open with one counter, and add KDS or a kiosk only when the line proves you need it.
→If you roast and sell beans online, keep retail stock in one system from day one; Shopify POS handles that better than restaurant-first tools.

The bottom line

Pick Square for Restaurants for most coffee shops: start free, and move to Plus when you need inventory and a kitchen display. Pick Loyverse for the lowest software cost at a single counter, SpotOn Essentials for the lowest published rate at high volume if you can buy hardware, and Lightspeed Restaurant once you run several sites. TouchBistro and Toast fit cafes with table service, and Shopify POS fits roasters that sell online.

Frequently asked questions

What is the best POS system for a coffee shop in 2026?

Square for Restaurants for most independent cafes: the Free plan has no monthly fee, in-person cards cost 2.6% + 15 cents, and Plus adds inventory and a kitchen display app. Loyverse is the cheapest software for one counter, SpotOn has the lowest published rate month to month, and Lightspeed Restaurant suits cafe groups. Prices checked on vendor pages in October 2026.

How much does a coffee shop POS cost per month?

Software runs from free (Square Free, Loyverse, SpotOn All-In) to $399 a month (Lightspeed Restaurant Premium). Processing is the larger cost: for a cafe taking $25,000 a month at an $8 average ticket, our scenario puts the monthly total between about $1,091 and $1,323 across the systems that publish rates.

Is there a free POS for coffee shops?

Yes. Square's Free plan, Loyverse's free POS and SpotOn's All-In plan all charge nothing for software. Loyverse also includes its kitchen display free, while Square charges for KDS on paid plans only. SpotOn All-In carries a two-year term and processing minimums, so read the contract before choosing it.

Square vs Toast for a coffee shop: which is better?

Square publishes its plan fees and card rates, so a cafe can price it without a sales call, and its Free plan runs a single counter. Toast is restaurant-first and has a free entry plan, but its paid pricing is quoted. A grab-and-go cafe usually fits Square; a cafe with a kitchen and table service should get a Toast quote to compare.

Why does the fixed fee matter so much for cafes?

Because the average coffee ticket is small. A 15-cent fee on a sale at our scenario's average ticket adds almost two points on top of the percentage rate. In our 3,125-sale scenario, the fixed fee alone costs $469 a month at 15 cents and $313 at 10 cents.

Do I need a kitchen display system in a coffee shop?

Not on day one: with one barista, a ticket printer or the register screen keeps up fine. A KDS helps when two or more people make drinks at the rush. It costs $30 a device on Square Plus, the same per screen on Lightspeed Restaurant, and nothing on Loyverse.
